Our Commitment to a Safe & Respectful Space

At Gatherwell, we are dedicated to providing a tranquil, safe, and respectful environment for all guests and staff. We’re a social space, and making sure it’s welcoming and comfortable for everyone is of the utmost importance. We have a zero-tolerance policy towards any form of harassment, discrimination, or inappropriate behaviour. Everyone has the right to enjoy our facilities without fear of intimidation, disrespect, or violation of their personal space.

Definition of Harassment

Harassment is any unwanted physical, verbal, or visual conduct that is offensive, demeaning, or intimidating, this includes, but is not limited to:

  • Unwelcome Physical Contact: Groping, intentional touching, brushing against, cornering, or blocking movement.

  • Verbal Harassment: Unwanted comments, jokes, propositions, or questions about a person's body, appearance, gender, sexual orientation, race, or religion. Persistent attempts to initiate conversation after a person has indicated they are not interested are also considered harassment.

  • Visual Harassment: Leering, staring, making sexual gestures, or intentionally displaying explicit material on a phone or other device.

  • Photos and recordings: The use of cameras, camera phones, or any recording device is absolutely forbidden without the consent of everyone being captured in the recording.

  • Sexualized Behaviour: Any sexual activity or overt sexual behaviour is strictly prohibited on the premises.

  • Persistent Unwelcome Attention: Following someone within the facility or repeatedly engaging with them after they have asked you to stop.

Cancellation

Cancellation window: You are eligible for a full refund if you cancel your reservation up to 2 hours in advance of the scheduled session.  For private sessions, a 48-hour notice prior to the scheduled session is required to be eligible for a refund. Please try and do this by creating an account on our website with the email associated with your initial booking. If you can not cancel through your account, please notify us and we will support.

How to cancel/reschedule: If you created an account at the time of your booking, please log in and head to your booking history to edit your booking by cancelling or rescheduling. If you did NOT create an account, not to worry! You can retroactively create an account with the same email that you made your booking with. Our system will merge your booking with your new account. You can proceed to edit your booking if you are within the appropriate time frame.

Rescheduling a drop-in session requires 2 hours notice, and cancelling will require 2 hours if you would like a refund. Rescheduling a private session requires 24 hours notice, and cancelling will require 48 hours notice.

Penalties for late cancellation or rescheduling: Late Cancellations: Unfortunately, we are unable to offer refunds for cancellations made within 2 hours of the scheduled session. Additionally, rescheduling within 2 hours of the scheduled time may be subject to availability.

No-Show Penalties: This policy applies to both members and non-members. 

  • Monthly members will receive one courtesy warning for a missed session, with a reminder of the no-show policy.

  • If a session is missed and there were available spots, no penalty will be applied.

  • For fully booked sessions, failure to cancel at least 2 hours in advance will result in a charge equivalent to the drop-in rate: $35 for a 90-minute community session or $24 for a 50-minute community session.

Membership

Travel Pause

  1. Members may pause their membership for up to four weeks per calendar year, taken in one-week increments.

  2. When a subscription is paused, guests will not be able to use it and will not be charged during the paused period. Billing will automatically resume once the subscription is reactivated.

  3. Any future payment dates will be postponed by the length of the pause instead of issuing a refund or prorated payment.

  4. A minimum of one day notice is required to initiate a travel pause.

  5. Retroactive pauses are not permitted.

Session Booking Limits

Members may book up to 2.5 hours of community sessions per calendar day, subject to the following conditions:

  • A maximum of two (2) sessions may be booked per day.

  • Members may choose from the following combinations:
    - One (1)  90-minute session and one (1) 50-minute session
    - Two (2) 50-minute sessions

  • Booking beyond 2.5 hours in a single day is not permitted (e.g. two (2) 90-minute sessions)

 

Unlimited Membership Clarifications

  • If a membership offers “unlimited community sessions,” that refers to unlimited sessions spaced over days, within the daily booking limit.

  • No back‑to‑back bookings that exceed the daily duration limit.

 

Rescheduling/Cancellations

  • For drop‑in sessions, reschedules or cancellations made less than 2 hours in advance will not qualify for a refund or reschedule credit.

  • For private sessions, reschedules made within 24 hours, or cancelations within 48 hours, are non‑refundable and cannot be rescheduled.
